Exams

Create exam templates, schedule exams for classes, grade them, publish results, and record exam attendance.

Exams work in two parts. An exam template is the blueprint — its name, length, maximum score, and how much it counts. A scheduled exam is an actual sitting of that template for a class, on a date, in a room. You build the template once, then schedule it for each class.

Who this is for

Administrators and teachers who set, schedule, and grade exams.

Step 1 — Create an exam template

Open exam templates

Go to Assessments → Grading setup, open the Subjects step, and add a template for a subject (at a level, for a term).

Fill in the template

Grade categories must exist first

A template cannot be created until at least one exam grade category has been configured for the subject at this level. Set up categories in Assessments → Grading setup → Grade categories before continuing.

FieldRequiredNotes
NameYesThe exam's name, e.g. Mid-term.
DescriptionNoOptional notes.
DurationYesHow long the exam lasts — 30 min, 45 min, 1 h, 1 h 30, 2 h, 2 h 30, or 3 h.
Max scoreNoThe score the exam is marked out of.
Weight (%)NoHow much this exam counts toward the term grade. A subject's exam weights should add up to 100%.
CategoryYesThe grade category this exam belongs to. Must be configured in advance.

Step 2 — Schedule the exam

Go to Assessments → Scheduled exams and schedule the template for a class.

FieldRequiredNotes
TemplateYesWhich exam to sit.
Class (and group)YesWho sits it. Pick a group if only part of a divided class takes it.
Date and timeYesWhen the exam takes place.
RoomNoWhere it's held.
SupervisorsNoThe teachers overseeing the exam.

Step 3 — Grade and publish results

When the exam is done, enter results in a grid — each student's score and optional notes — then publish the results to make them visible to students and families.

Results stay private until you publish

Scores you enter are not visible to students or families until you publish the results. This lets you finish marking before anyone sees a grade.

Step 4 — Record exam attendance

Exam attendance is recorded separately from grades. For each student, mark:

StatusMeaning
PresentThe student sat the exam.
AbsentThe student didn't attend.
ExcusedAn approved absence — add the reason.
LateThe student arrived late.

Exam statuses

StatusMeaning
ScheduledSet up, not yet taken.
CompletedThe exam has taken place.
GradedResults have been entered.
CancelledThe exam won't take place.

Make-up exams

If a student or class needs to retake or sit an exam later, schedule a make-up exam linked to the original. It's marked as a make-up so it's clear in the records.

Common use cases

  • Termly exams — create a template per exam with weights that add up to 100%, then schedule each per class.
  • Split class — schedule the same template separately for each group.
  • Absent student — mark them absent (or excused), then schedule a make-up.

Frequently asked questions

What is the difference between an exam template and a scheduled exam?

An exam template is the blueprint — its name, duration, maximum score, weight, and category. A scheduled exam is one actual sitting of that template: a specific class, date, time, and room. You create the template once and can schedule it for multiple classes without redefining it each time.

Can the same template be used for multiple classes?

Yes. Schedule the template once per class. Each scheduled exam has its own grade grid, attendance record, and publication state, independently of the others.

How do I handle a student who was absent?

Mark the student Absent (or Excused with a reason) in the exam attendance record. Their grade cell shows the Absent status. If they need to sit the exam later, schedule a make-up exam linked to the original.

When should I publish results?

Publish once you have finished marking and are confident in the grades. Scores you enter are not visible to students or parents until you publish. There is no time limit — you can publish immediately after marking or wait until results for all classes are ready.

Do exam scores feed into the gradebook automatically?

Yes. Once a score is entered (and the exam's results are published), it feeds directly into the gradebook under the subject's marking period, category, and weight you set on the template. No manual transfer is needed.

Can I schedule a make-up for just one student?

Yes. When scheduling a make-up, you can target an individual student rather than the whole class. The make-up is linked to the original exam and shows as a separate entry in the records.
