Transport

Run your school's bus service end to end — vehicles, drivers, routes, stops, student rosters, daily trips, and attendance.

The Transport module helps you run your school bus service from start to finish. You register your vehicles and drivers, draw routes made up of stops, assign students to the stop they board at, and then follow each day's trips and attendance.

Who this is for

Administrators and transport coordinators who set up and run the school's bus service.

How the pieces fit together

Transport is built in layers. Each layer depends on the one before it, so it helps to set things up in this order:

  1. Vehicles — the buses, minibuses, and cars in your fleet.
  2. Drivers — the staff who drive, plus any assistants or monitors who ride along.
  3. Routes and stops — the path a bus follows and the places it picks up or drops off.
  4. Pricing zones (optional) — group stops into zones so families in the same area pay the same monthly transport fee.
  5. Student roster — which student boards at which stop, on which route.
  6. Trips — the actual run of a route on a given day. Most trips are created automatically for every school day; you can also add one manually.
  7. Attendance — who boarded, who was dropped off, and who was absent on each trip.

Everything belongs to an academic year

Routes, zones, rosters, and trips are all scoped to the selected academic year. Pick the right year in the switcher before you set anything up.

Before you start

  • An academic year must be created and selected.
  • The Transport module must be enabled for your school.
  • (Optional, for billing) If you charge families for the bus, create a Transport service and its fee in Finance first. See Create services and Set up fees.

ArticleWhat you'll do
Manage vehiclesAdd the buses in your fleet and track their costs.
Manage driversRegister drivers and assistants and their licenses.
Build routes and stopsDraw routes, place stops on the map, and set pricing zones.
Assign studentsPut each student on a route and stop.
Create tripsHow daily trips are generated automatically and how to add one by hand.
Trip attendanceMark boarding and drop-off, and follow a trip from start to finish.

Good to know

  • Trips run themselves. Once a route has stops and students, a trip is created for it automatically on every school day — you don't add them one by one. Holidays and school closures are skipped.
  • History is kept. Each trip keeps its own snapshot of the stops and riders as they were that day, so past records stay accurate even if you later change a route.
  • Billing is automatic. When you assign a student to a stop, their transport fee is added to their payment schedule based on the stop's pricing zone (or the level's default fee).
