Assign students
Put each student on a route and the stop where they board, so they appear on daily trips and are billed correctly.
Assigning a student to a route tells the system which stop the student uses and which route carries them. Once assigned, the student appears automatically on every trip for that route, and their transport fee is added to their payment schedule.
Who this is for
Administrators and transport coordinators building bus rosters.
How rosters work
- A student can ride one pickup route (home → school) and one dropoff route (school → home) per academic year.
- You assign the student to the stop they board at; the route is the one that stop belongs to.
- Assignments can have a start and end date if a student only rides for part of the year.
Before you start
- The route and its stops must already exist. See Build routes and stops.
- The student must be enrolled for the selected academic year.
- The student must have an active transport fee — that is, a payment plan that includes the Transport service. Only students who are eligible for transport appear in the picker. See Set up fees and Create payment plans.
Why a student might not appear
If a student is missing from the list of students you can assign, it's almost always because they don't yet have a transport fee on an active payment plan. Add the transport fee first, then they'll appear.
Assign students to a stop
Open the route roster
Go to Transport → Routes, open a route, and switch to the Roster view. You'll see the route's stops with the students currently assigned to each one.
Add students to a stop
Click Assign students, search for the students you want, and add them to the chosen stop. Only eligible (transport-billed) students are shown.
| Field | Required | Notes |
|---|---|---|
| Student | Yes | The student to add. The picker shows only eligible students. |
| Stop | Yes | The stop the student boards at (or is dropped off at). |
| Start date | No | When the student begins riding. Leave empty to start now. |
| End date | No | When the student stops riding. Leave empty if open-ended. |
Save
The student now appears on the route and will be included on every trip generated for it.
Move or remove a student
- Move to a different stop — open the roster, find the student, and change their stop. This is useful when a family moves house.
- Stop riding — set an end date, or remove the student from the route. Their transport fee is adjusted on their future installments accordingly.
Billing follows the roster
When you add, move, or remove a student, their future transport installments are updated to match the stop's pricing zone (or the level's default fee). You don't need to edit invoices by hand.
Common use cases
- New rider — add the student to the stop nearest their home on both the pickup and dropoff routes.
- Family moves — change the student's stop; billing updates automatically.
- Mid-year start or stop — use the start and end dates so the student is only on trips for the right period.
