Trip attendance
Mark who boarded and who was dropped off on each trip, handle absences, and keep an accurate record of every journey.
Trip attendance is the record of which students actually travelled on a trip. Every student assigned to the route starts on the trip as Expected, and the crew updates each one as the bus visits their stop. This gives the school an accurate record of who travelled, who was absent, and at what time.
Who this is for
Drivers, assistants, and bus monitors marking attendance, and administrators reviewing it.
How attendance works
- When a trip is created, every assigned student is added to it with the status Expected.
- The crew marks each student as the bus reaches their stop.
- What you mark depends on the route's direction:
- On a pickup trip (home → school), you mark students Boarded as they get on.
- On a dropoff trip (school → home), you mark students Dropped off as they leave the bus.
- When everyone has been accounted for and every stop has been visited, the trip completes automatically.
Attendance statuses
| Status | Meaning |
|---|---|
| Expected | The student is on the trip but hasn't been marked yet. This is the starting point. |
| Boarded | The student got on the bus (pickup trips). |
| Dropped off | The student left the bus at their stop (dropoff trips). |
| Absent | The student is known in advance not to be riding — a planned absence. You can mark it before the bus reaches the stop (for example, the family told you the child won't take the bus that day). |
| No-show | The student was expected but didn't show up at their stop. The crew can mark this at the stop, and it's also applied automatically to anyone left unmarked when the trip finishes. |
Mark attendance
Open the trip
Go to Transport → Trips and open today's trip. You'll see the list of stops and the students expected at each one.
Mark each student
As the bus reaches a stop, mark each student Boarded, Dropped off, or Absent. To move quickly, use Mark all boarded at a stop to mark everyone waiting there at once, then adjust any exceptions.
Mark the stop visited
When the bus has finished at a stop, mark the stop as arrived (or skipped if it was passed). This records the actual time the bus was there.
The trip finishes itself
Once every student has a final status and every stop has been visited, the trip completes on its own — no need to tap complete. Any student still unmarked at that point is recorded as a no-show.
Add a note
You can add a short note to a student's attendance — for example "picked up by parent instead" or "left early". Notes stay on the trip's record.
Who can mark attendance
The driver and the assistant on a trip can both mark attendance — they have the same abilities. Administrators can also mark or correct attendance from the trip's page.
Review past trips
Open any past trip to see exactly who travelled, who was absent, and the times recorded. Because each trip keeps its own snapshot, this record stays accurate even if the route or roster changes later.
Common use cases
- Normal run — mark students boarded/dropped off stop by stop; the trip completes itself.
- Child won't be riding — when the family tells you in advance, mark them absent.
- Follow up on a no-show — review the trip and contact the family.
