Activate and class sessions
Turn a weekly timetable template into real dated class meetings — what Activate does, and how sessions appear for teachers and attendance.
A timetable group is a weekly template. Activating it makes that template the live plan for its levels and creates class sessions — real meetings with a specific date and time that teachers and families can follow.
Who this is for
Administrators releasing a finished weekly plan so day-to-day teaching can start.
Template vs session
| Concept | What it is |
|---|---|
| Weekly template (timetable group) | The repeating week: Monday period 1 — Class 6A Maths with Ms. A in Room 12. |
| Class session | One real occurrence: Monday 10 March, 08:00–08:45 — Class 6A Maths…. |
Attendance, the Activity Journal, and substitutes are attached to sessions, not to the blank template. See Class sessions & attendance.
Before you activate
- The group's week is reviewed (generated and/or edited by hand).
- You are ready for teachers and students to follow this plan for the group's levels.
Activate a group
Open the group
Go to Academic → Timetable → Groups and open the group (or use the row actions on the list).
Choose Activate
Confirm the preview if the product shows one. If another active group already covers the same levels, activating this one retires the overlapping group so only one live plan applies per level set.
What happens
- The group becomes Active.
- Class sessions are created from the weekly template with real dates and times for the coming days.
- Teachers, students, and parents can follow the live schedule.
- The active group is protected from casual grid edits until you unlock or deactivate it.
Deactivate
Deactivate stops the group from driving new live sessions and unlocks editing again. Use it when you need to change the week, then Activate again so sessions follow the updated template.
After activation — day to day
| Who | What they do |
|---|---|
| Teachers | See their sessions on the timetable, mark attendance, and log what was taught in the Activity Journal. |
| Administrators | Review sessions across classes, cancel or adjust a one-off meeting when needed. |
| Students / parents | Follow the live class timetable. |
Tips
- Activate only when the week is good enough to live with — drafts are for trials and variants.
- Prefer a new draft clone for a big experiment; activate the winner when you are sure.
- For how teachers run each meeting, see Class sessions & attendance.
