Generate and activate

Run the timetable generator, review the result, adjust it by hand, then activate the group so real class sessions are created.

When your setup is complete, you're ready to build the schedule. You create a timetable group, run the generator, review and fine-tune the result, then activate the group so everyone follows the live week and class sessions appear with real dates.

Before you start

Make sure the earlier steps are done:

Step 1 — Create a timetable group

A timetable group is a weekly template for a term and a chosen set of levels, using one config.

Start a new group

Go to Academic → Timetable → Groups, then create a new group (or open an existing one). Give it a name, choose the term and the levels it covers, and pick the config to use.

Reuse last year's rules (optional)

If you've run timetables before, you can start from your previous constraint settings instead of the defaults, then adjust. You can also clone as new draft to try a variant with an empty grid.

Step 2 — Generate

Run the generator

Open the group and click Generate. The generator first runs a quick feasibility check, then starts solving.

Fix anything the check flags

The feasibility check looks for problems that would make a timetable impossible — most often a class–subject with no teacher assigned, or far more lessons than the available hours and rooms can hold. It lists these as blocking errors (you must fix them) and warnings (worth a look). Fix the blocking errors and run again.

Watch the progress

Generating runs in the background and shows live progress. You can leave the page and come back. If you need to, you can stop a run that's taking too long.

If it can't find a timetable

The generator only produces a schedule that breaks no hard rule. If that's impossible, it reports the conflicts instead of guessing. The fix is almost always to loosen reality or a strict preference — remove some teacher unavailability, raise an over-tight hour limit, free up a room, or relax a preference you made strict. Then generate again.

Step 3 — Review the result

Once it completes, look over the timetable in whichever view suits you:

  • By class — what each class's week looks like.
  • By teacher — each teacher's personal schedule.
  • By room — how each room is used through the week.

Each view comes in two layouts: a grid that shows everything at once, and a master view that lets you step through one class, teacher, or room at a time — or show them all. Use the search box to highlight a class, teacher, subject, or room wherever it appears.

An issues view highlights anything worth attention, such as soft preferences that couldn't be fully met.

Step 4 — Adjust by hand

You can fine-tune the result directly:

  • Move a lesson — drag it to a different day or time. The editor warns you if the move would clash with a hard rule.
  • Change a room — pick a different suitable room for a lesson.
  • Pin a lesson — lock a lesson in place. Pinned lessons stay exactly where they are if you generate again, so you can fix the parts you like and let the generator redo the rest.

Step 5 — Activate

A group starts as a draft — only you and other planners can see it. When you're happy, activate it. Activating makes the week live and creates dated class sessions. Full detail: Activate and class sessions.

Activate the group

Open the finished group and choose Activate. Confirm if a preview lists overlapping groups that will be retired.

What happens

  • The group becomes Active and visible as the live plan for its levels.
  • Class sessions are created from the weekly template with real dates and times.
  • Any previously active group for the same overlapping levels is retired (kept for reference, no longer live).

Changing an active timetable

If you need to change a live week: deactivate (or unlock as allowed), edit or re-generate, then activate again so sessions follow the updated template. For big experiments, clone as new draft, refine the clone, and activate the winner.

Tips and best practices

  • Generate early, even if setup isn't perfect. The feasibility check is the fastest way to find missing assignments and tight limits.
  • Pin the parts you're sure about before re-generating, so improvements don't disturb them.
  • Review by teacher before activating — it's the quickest way to spot an unbalanced workload.
  • Keep trial variants as draft groups until you are ready to go live.
