Review and process submissions
Review responses and turn admission applications into student records.
Every response to a published form becomes a submission. This is where you review what was sent and, for Admission forms, decide on each applicant.
Open the submissions list
From the Forms list, use View submissions on a form's row. This is available once the form is Published.
Each submission shows its code, the submitter, a status, and when it was submitted.
Submission statuses
| Status | What it means |
|---|---|
| New | Just received, not yet reviewed. |
| Under review | Being looked at. |
| Partially processed | Some applicants decided, others still pending. |
| Completed | All applicants have a final decision. |
| Accepted / Rejected / Waitlisted | The outcome of a single-applicant submission. |
Review a submission
Open a submission to see the submitted data, grouped by the same sections the applicant filled in. Repeatable sections show one block per entry — for example one block per child on a family application.
Process an admission
On an Admission form, each Student section carries its own decision. One submission with several children produces one decision per child.
Choose a decision
On a student's section, pick one of three actions:
| Action | Effect |
|---|---|
| Accept | Approves the applicant and creates their student record. |
| Reject | Declines the applicant. |
| Waitlist | Holds the applicant for a later decision. |
Resolve any matches
When you Accept, the platform checks whether the student or a guardian already exists — usually matched by email. If matches are found, a dialog asks you to choose, for each person:
- Associate existing — link the application to the record already in the school.
- Create new — add a new record anyway.
If an email already exists in your school, you must associate the existing record. An email that belongs to another school cannot be reused.
Confirm
Confirm the decision. An accepted applicant gets a student record, and a View student link appears so you can open it.
Accept is final
A Rejected or Waitlisted applicant can still be moved to another decision later. Accept cannot be undone — once accepted, the student record exists.
After accepting
Accepting creates the student record but does not place the student in a class. To finish, enroll the new student — see Create an enrollment.
