Pre-inscriptions
Record a prospective student's intended level (and track) for a year, then turn it into an enrollment.
A pre-inscription records that a student is expected to join a given level for an academic year — and a track when that level offers tracks — before a formal enrollment exists. It's an internal way to line up intake. You manage them under Admissions & Enrollment → Applications (Direct / Admin tab).
Pre-inscription vs. enrollment
A pre-inscription names a level (e.g. Grade 9) and optional track. An enrollment places the student for the year and can add a class and payment plan. Pre-inscriptions don't collect fees — those belong to enrollment / billing.
Level vs education level
You pick a Level on the form. Education level (cycle) is part of how levels are structured in settings — it is not chosen separately here.
Statuses
| Status | What it means |
|---|---|
| Pending | Recorded and waiting — the student isn't enrolled yet. |
| Enrolled | The student has been enrolled for the year; the pre-inscription is fulfilled. |
| Rejected | Turned down, with a required reason. |
| Cancelled | Called off, with an optional reason. |

A few rules
The academic year can't be closed. A student who already has an active enrollment for the year can't be pre-inscribed, you can't record the same student + level twice for a year, and a student can have only one Pending pre-inscription per year.
Work through the list
While a pre-inscription is Pending, you can:
- Edit it — change the student, level, or track (when applicable).
- Reject it — with a reason the record keeps.
- Cancel it — with an optional reason.
You can delete ones that are pending or rejected.
Turn it into an enrollment
- Bulk enroll from the list — select several pending pre-inscriptions of the same level, choose Enroll, then set track (if needed), and optionally class and payment plan. See Bulk enroll students and Create an enrollment.
When enrollment succeeds for that student and year, the pre-inscription flips to Enrolled.
Level and track must match
When you enroll, the placement level must match the pre-inscription. If the pre-inscription has a track, the enrollment track must match too. Once Enrolled, the pre-inscription can't be edited, cancelled, or deleted.
