Create an academic year

Create the academic year that all levels, classes, terms, enrollments, and scheduling belong to.

An academic year is the top-level container for a school cycle — for example 2025–2026. Almost everything else (terms, levels, classes, subjects, rooms, enrollments, timetables) is created inside an academic year, so this is the very first thing to set up.

Who this is for

Administrators starting a new school cycle.

Before you start

  • Decide the start and end dates of the cycle.
  • If a previous academic year already exists, you can clone its structure into the new one instead of rebuilding it by hand.
Academic years are managed under Settings.

Steps

Open the Academic Years page

Go to Settings → Academic, open the Academic Year tab, then click Add.

Fill in the year details

Complete the fields below.

Clone from a previous year (optional)

If other academic years exist, the form offers a cloning step. Turn on Enable cloning, choose a source year, and pick what to copy — terms, levels, subjects, classes, fees, and more. Some options depend on others (for example, level subjects need levels and subjects), and the form keeps those in sync.

If you cloned terms, a final step lets you shift each term's dates into the new year. Click Skip to create the year without cloning.

Submit

Click Submit. The new academic year is created. If you enabled cloning, the copy runs as a background job and you can track its progress.

Switching the active year

The academic year shown in the switcher at the top of the screen determines which year you are editing. Select the new year there before building its levels and classes.
