Staff attendance

Mark who was present, absent, late, on a half-day, or on leave each day, and review the totals.

Staff attendance records one status per staff member per day, for the academic year. You mark it manually — one person at a time, in bulk, or across a grid — and the totals roll up into rates you can review.

Module required

Staff attendance is part of the Staff Management module. Teachers' attendance is always available and feeds the dashboards; managing non-teaching staff attendance needs the module turned on.

Statuses

StatusWhat it means
PresentAt work.
AbsentDid not attend.
LateArrived late.
Half-dayWorked part of the day.
On leaveOff on leave for the day.

“On leave” is set by hand

Marking someone On leave here is a manual choice. Approving a leave does not automatically fill in attendance records for those days — the two are kept separate.

Mark attendance

You can record attendance in a few ways:

  • One at a time — set a person's status for a date, with optional check-in and check-out times and a remark.
  • In bulk — mark several staff for a date in one go.
  • In the grid — a matrix of staff (rows) against dates (columns), so you can fill a whole period quickly.

Each staff member can have only one record per day — marking the same day again updates the existing one rather than adding a duplicate.

Teachers vs. other staff

The grid and the non-teaching-staff views are part of Staff Management. Teachers' attendance is handled the same way but is always available — even with Staff Management off — because it also powers the teacher numbers on the dashboards.

Review the totals

Attendance rolls up per staff member and across the team, for any date range:

  • Attendance rate — share of days marked present.
  • Punctuality rate — present out of those who showed up (present, late, and half-days).
  • Work hours — totalled from check-in/check-out times where you recorded them.
  • Counts by status — present, absent, late, half-day, and on-leave records.

These same numbers feed the attendance widgets on the dashboard.
