Create portal accounts

Give a person a login so they can access the platform.

A person record — a teacher, student, guardian, or staff member — does not include a login. A portal account is the login that lets them sign in and use the platform. Creating records and creating accounts are two separate steps.

Who this is for

Administrators granting people access to the platform.

Before you start

  • The person record must already exist (e.g. the teacher or student is created).
  • A person can only get an account once — someone who already has one is skipped.

Create an account for one person

Open the person's profile

Go to the teacher, student, guardian, or staff member's profile.

Create the portal account

Use the Create portal account action on the profile. The account is created with the role that matches the person — teacher, student, parent, or staff.

Create accounts for several people

People who still need a login appear in the Pending portal accounts list.

Open the Pending portal accounts list

Go to Users (under Settings in the sidebar), then the Pending portal tab.

Everyone without a login, filterable by role.

Filter by role

Choose a role — teacher, student, parent, or staff — to narrow the list.

Select people and create accounts

Tick the people you want, then choose Create selected portal accounts. People who are not eligible for an account are skipped automatically.

Doing a whole role at once

To create accounts for everyone in a role in one action, see Bulk create portal accounts.
