Audiences

Build reusable groups of recipients so you can target announcements and events without rebuilding the list each time.

An audience is a reusable group of recipients. Instead of picking people one by one every time, you define an audience once — for example All parents or Year 5 students — and reuse it across announcements and events.

Who this is for

Administrators (and teachers) who decide who receives announcements and events.

Three ways to define an audience

You can build an audience from any of these, and combine them:

Building blockWho it includes
By roleEveryone of a role — all students, all teachers, all parents, and other staff roles. You can include everyone of the role or just specific people.
By levelStudents and/or parents in chosen levels (year groups). You can include all levels or specific ones.
Specific peopleA hand-picked list of individuals.

Include and exclude

Each building block supports exceptions. For example, all parents except a few, or every class in Year 5 except one. This lets you target broadly and then trim.

Create an audience

Open Audiences

Go to Communication → Audiences, then choose Add audience.

Name it and choose who's in it

Give the audience a clear name (you'll see this name when choosing an audience later), then add one or more building blocks:

  • Pick roles (e.g. Parents), and optionally narrow to specific people.
  • Pick levels, and choose whether to include the students, their parents, or both.
  • Add any specific people by name.
  • Add exclusions if you need to leave some classes or people out.

Save

The audience is saved for the academic year and ready to use.

Use an audience

When you create an announcement or an event, choose your audience in the Audience field. The system works out exactly who's in it at that moment and sends to them. Changing the audience definition afterwards doesn't change who already received a past announcement.

Edit or delete

  • Edit — change an audience's name or membership rules at any time.
  • Delete — remove an audience you no longer need. An audience that's currently used by an announcement or event can't be deleted until it's no longer in use.

Audiences belong to an academic year

Audiences are scoped to the selected academic year, because the people in a role or level change from year to year. Build them in the year you're working in.

Common use cases

  • All families — a Parents role audience for school-wide notices.
  • One year group — a level audience including the students and their parents.
  • A committee — a specific people audience for a small, fixed group.
  • Everyone but one class — a level audience with that class excluded.
