Record a payment
Collect a payment against a student's installments, with an optional discount.
Recording a payment settles one or more of a student's installments. A single payment can cover several installments at once, optionally apply a discount, and is attributed to a payment method and a payer.
Who this is for
Front-office and finance staff collecting fees.
Before you start
- The student must have generated installments — see Installments and schedules.
Steps
Find the student
In the payment center, search for and select the student whose fees you are collecting.
Select the installments to pay
The student's outstanding installments are listed, grouped by fee. Tick the ones this payment covers. The total updates as you change the selection.
Apply a discount (optional)
Optionally enter a discount — either a percentage or a fixed amount. The final amount updates automatically.
Enter the payment details
Complete the payment fields, then submit.
| Field | Required | Notes |
|---|---|---|
| Paid by | No | The guardian making the payment, if recorded. |
| Payment method | Yes | Cash, credit card, or bank transfer. |
| Total amount paid | Yes | Pre-filled with the final amount; adjust for a partial payment. |
| Discount type / value | No | Percentage or fixed amount taken off the total. |
Confirm
Submit the payment. The selected installments' amount paid increases and their remaining drops. A partial payment leaves the installment partly settled.
Partial payments
You do not have to pay an installment in full. Enter a smaller total amount paid and the remainder stays due — collect it with a later payment.
